Job Description
The agency is seeking a highly qualified candidate for the position of Executive Assistant, Chronic Disease Prevention Section within the Division of Health Protection.

The Executive Assistant performs administrative and office support activities for the Chronic Disease Prevention Section Director. Responsibilities may include screening calls, receiving and directing visitors making travel and meeting arrangements, drafting memos, preparing documents and meeting summaries, and customer relations. This position requires strong computer and internet research skills. Also calls for flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside partners and stakeholders.

Job Responsibilities
Triages incoming phone calls and inquires to CDP and ensures tracking and follow up.
Manages and coordinates the CDP Section Director’s travel, including preparation of travel folders, and entry and tracking of travel expenses. May approves travel and provides support to all section staff on Concur procedures.
Manages and coordinates the CDP Section Director’s calendar, including proactively seeking details and read ahead materials for meetings.
May serve as Share Point steward for the section; may maintain site and serve as liaison with Sharepoint manager for DPH.
Develops and maintains a record keeping system for the CDP Section.
Ensures the development of initial draft materials for the director, including presentations, correspondence policies, and summaries to prepare for meetings.
Performs general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
Works collaboratively with DPH administrative support staff to coordinate the scheduling of meetings.
Carries out short-term projects as directed by the director to support the entire section.
Minimum Qualifications
Bachelor’s degree in business administration, communications or a related field from an accredited college or university AND Three years of office administration or senior secretarial experience or equivalent combination of experience, education, and training.
